ProfitGuard Privacy Policy

ProfitGuard (“we”, “us”) is a real-profit accounting tool for handmade / Etsy sellers. We understand that your sales, costs, and profit are sensitive business data. This policy explains what we collect, how we use and protect it, and truthfully discloses our third-party AI processing. Our overall stance: collect nothing we can avoid, minimize what we do collect, and never sell or train on it.

1. Information We Collect

To provide the service, we collect:

  • Account identifier: when you sign in with Apple (Sign in with Apple) or register by email, we collect your email address (a private relay address if you use Apple’s email relay) and display name, to identify your account and sync your data.
  • Business data you enter: the SKUs, material costs, labor, prices, orders, and platform fee rates you create. You enter this yourself, and it is used solely to calculate your profit, build your ledgers, and raise alerts.
  • Subscription status: whether your Pro subscription is active (determined by RevenueCat from your App Store / Google Play purchase receipt), used to unlock features.
  • Essential technical info: to keep the service reliable, we may record crash logs and basic diagnostics (device model, OS version, error code).

We do not collect your real name (unless you enter it as a display name), precise location, contacts, photos, microphone, or advertising identifier (IDFA), and we connect to no bank / payment account aggregation (no Plaid) — all cost and price data is entered by you.

2. How We Use Information

Your information is used only to:

  • calculate true net profit per order / per SKU, generate cost ledgers, loss alerts, and price suggestions;
  • sync your business data across your devices;
  • verify and manage your subscription;
  • fix bugs, ensure security, and send necessary service notifications.

We do not sell your personal information or business data to any third party, do not use your sales / cost data to train any AI model, and do not serve targeted ads.

3. Third-Party AI Processing (Important)

ProfitGuard uses AI in one place only, optionally: polishing the explanatory text of the “price suggestion” feature. Specifically:

  • When it triggers: only when you view a SKU’s “price suggestion” and this optional polishing is enabled. The break-even and suggested-price numbers are always computed locally on your device by pure functions, independent of AI; AI only makes the wording read better.
  • Consent before first use: before you first use any AI-related feature in the app, we explicitly request your consent (in-app consent). Without consent, the feature falls back to a fixed template and no AI is called.
  • What data is sent: only the cost and pricing context needed to compute the price suggestion (numbers such as material cost, labor cost, platform fees, target margin). We do not send your name, email, or any personally identifiable information, nor any content that could identify you.
  • How it’s processed: that context is forwarded through our self-hosted server-side AI gateway to OpenAI’s GPT model for processing, and the polished explanation is returned to you. Data is passed through only to fulfill that real-time request — never retained, never used for training.
  • Graceful fallback: if AI processing fails or times out, the app automatically uses a local template and your numeric results are unaffected.

4. Data Storage & Security

  • Your account and business data are stored in a secure cloud database (Supabase) with strict multi-tenant row-level security (FORCE Row-Level Security) — ensuring you can only access your own data.
  • All data is transmitted with industry-standard TLS/SSL encryption.
  • Some data is cached locally on your device to enable offline, instant calculation.

5. Data Retention & Deletion

  • You can permanently delete your account and all SKUs, orders, and labor data anytime in the app under Settings → Account → Delete account.
  • Deletion is recoverable for 30 days; after 30 days, all your data is irreversibly purged from our servers.
  • You can also export your business data in-app (GDPR data portability).

6. Third-Party Services

We use the following third-party services, each processing only the data necessary for its function:

  • Supabase — account authentication and business data storage;
  • RevenueCat — subscription status (based on App Store / Google Play receipts);
  • Apple / Google — the actual billers for in-app purchases and subscriptions;
  • OpenAI (via our self-hosted server-side AI gateway) — only after your consent, polishing “price suggestion” explanation text (see section 3).

7. Children’s Privacy

ProfitGuard is intended for adult sellers running a handmade business and is not directed to children under 13. We do not knowingly collect personal information from children under 13.

8. Your Rights

You have the right to access, correct, export, and delete your personal data. Most actions are available in-app; contact us by email if you need help.

9. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you in-app of material changes. Continued use constitutes acceptance of the updated policy.

10. Important Notice (Not Financial Advice)

ProfitGuard provides cost-accounting and pricing references and does not constitute financial, investment, tax, or legal advice. All calculations are based on data you enter yourself; consult a professional for business decisions.
